LOG ON:
TIP: Usually, you can dial through voice prompts to enter a command without waiting.
==> Dial your extension number, followed by the #sign (if you are at your own desk, you may simply press the # sign!)
==> Dial your password followed by the # sign.
To record and send messages from with-in your mailbox, without ringing a phone: (3 steps!)
Step 1) RECORDING
Identify yourself and topic first when leaving a voice mail message Don't just leave messages like "Call me". Include useful information or the reason for the call. Be concise when leaving a message. If you find yourself rambling re-record
If sending a message to several, let the recipients know who else is receiving the message
==> After log on, press 1 from the ACTIVITY MENU
==> Speak message at the tone
==> Press 1 to stop or pause
==> To edit, press one of the following:
1 to continue recording 2, 3 to rewind and play back *D to delete (and begin again)
==> Press # to approve
Step 2) Addressing You may enter one extension (address), several, or a list number that includes a group of extensions.
==> Enter recipient's extension ("address") and press # Press *A to alternate between ext and name
addressing.
==> Repeat for additional recipients
==> For a list of recipients: Press *L to access a list Enter list owner's address and press # Enter list ID and press #.
==> Press # AGAIN to approve the address, and
move on.
Step 3) DELIVERING - you must hear the prompt "delivery scheduled" for your message to go through
Press # to deliver immediately, OR
==> Do any combination of the following: Press 0 for a list of options Press 1 to make your message private
(messages can not be forwarded) Press 2 to make your message priority (messages
are presented to recipients before other
messages). Press 3 to schedule future delivery (see below). Press 4 to file a copy
==> Then press # to approve delivery To schedule delivery (use the system as a reminder by scheduling messages to yourselves or others):
==> Enter delivery time (405 = 4:05)
==> Enter A (a.m.) or P (p.m.) and press #
==> Enter delivery month and day (502 = May 2)
==> Press # to approve delivery
How to Get and Respond to Messages
LISTENING TO A MESSAGE Let callers know about the system and how they can use it to communicate effectively with you. Avoid allowing calls to go to AUDIX Voice Mail when you can answer them yourself Retrieve messages often and return calls regularly Use SEND ALL CALLS when you are away from the telephone for an extended period of time. This eliminates the telephone ringing three rings prior to being answered by your coverage point or voice mail
Delete messages after retrieving, avoid archiving unless absolutely necessary.
==> Press 2 from the ACTIVITY MENU.
==> Every message will have a "header at the beginning
of the message; the header tells you the originator,
type of message, delivery time, and length
==> Press any combination of the following at any time: 0 to listen to the message- (you may skip the "header") 2 rewind to the previous message 2,3 to rewind and replay the header
ACTING ON A MESSAGE. After you have listened to a header, or message, you can choose from several options.
==> Press any of the following: *D Delete the message **U Undelete the message # Save and skip to nest message **H Hold message in current category and skip to
the next message *# Skip to the next message category.
(Categories are NEW, UNOPENED and OLD).
RESPONDING TO A MESSAGE. You can respond to a message during or after listening to the header or message.
==> Press 1, then one of the following: 1 Reply to sender by voice mail 2 Forward message with comment at the beginning 4 Record and address a new message. 0 Call sender
How to Create a Personal Greeting (multiple greetings are available)
RECORDING YOUR BASIC GREETING Update your personal greeting regularly. Callers feel more comfortable leaving a message when greetings convey the subscriber's status. It is best to record a new greeting on a daily basis, but if you can't do that, record a new message every Monday morning, letting callers know your schedule for the week. The elements of a good voice mail greeting are:
* Your name (also the name of your company or department, optional).
*The day of the week or the period of time for which the greeting is valid.
*What key(s) callers can press on their telephone for immediate assistance.
*When callers can expect a return call- more specific than "as soon as possible."
==> Login to your mailbox
==> Press 3 from the Activity Menu
==> Press 1 to record a basic greeting
==> Press 1 to record greeting 1
==> Speak greeting at the tone.
==> Press 1 to stop or pause.
==> To edit, press one of the following: 1 to continue recording 2, 3 to rewind and play back *D to delete (and begin again)
==> Press # to approve. Follow the prompts to activate the greeting
TO SIGN OFF OF VOICE MAIL
==> Press **9 to officially sign off.
TO CHANGE YOUR PASSWORD
==> Press 5 from voice mail menu.
==> Press 4 to change your password. (minimum of 5 digits.)
TO CHANGE YOUR NAME (ONLY)
==> Press 5 from voice mail menu.
==> Press 5 to change your name.
